Vantage includes optional AI-assisted features (for example, the “Nova” assistant). This page explains exactly how they work, because AI processing is easy to get vague about and we’d rather be specific.

Which API key is used

An AI feature only runs when a credential is available for it: your organisation’s admin can connect an API key — to Anthropic or OpenAI directly, or to a Microsoft Azure AI Foundry endpoint that reaches one of those models — from organisation settings, and that key is used for that organisation’s AI calls from then on. An admin can rotate or remove the connected key at any time.

Where an organisation hasn’t connected its own key, Vantage may use its own deployment-level API key instead so the feature still works. In that case the request is made under Vantage’s own agreement with the provider, not your organisation’s, and removing an organisation’s own key falls back to the deployment key rather than disabling AI features outright. If you want AI features to run only on a key your organisation controls, connect one from organisation settings.

What gets sent, and to whom

When you use an AI feature, the prompt you send (and the content it needs, such as the relevant record you’re working on) is sent to whichever provider and endpoint is in use for your organisation — Anthropic, OpenAI, or a Microsoft Azure AI Foundry endpoint fronting one of those models, per “Which API key is used” above. That provider processes the request and returns a result, which Vantage stores so the conversation can be shown back to you (see our privacy policy).

We do not train, or contribute your data to training, any AI model ourselves. What the receiving provider does with the request on their side is governed by whoever’s agreement the request ran under — your organisation’s own agreement when it connected its own key, or Vantage’s when the deployment key was used — not by Vantage’s own control over that provider; check that provider’s own policy for specifics we can’t speak for.

What AI features do and don’t do

AI features in Vantage are assistive: they help you draft, search, or propose changes, and a human decides whether to accept, edit, or discard the result. Vantage does not use AI to make automated decisions about you (for example, decisions about billing, account access, or who can use the product) without a human involved.

Questions or concerns

If you have questions about how an AI feature processed something, or want to know which provider your organisation has connected, contact your organisation’s admin, or reach us through our contact page.
